Day To Day Operations

As a reliable Facilities Management provider, we are well-equipped to oversee the day-to-day operations of the building, ensuring its efficient management.

Our responsibilities include;

Management of the following contracts to ensure all the scheduled maintenance is up to date with in compliance with legislations and regulations.

  • Fire protection equipment
  • Common area lighting
  • Gardening and landscaping contract
  • Road maintenance (the roads are private)
  • Pest control
  • Ad hoc waste removal
  • Cleaning (common areas, signage, graffiti removal)
  • Water utilities and meters (including plumbing, backflow prevention etc)
  • Ongoing routine maintenance
  • Conducting regular inspections
  • Managing and compliance with annual certifications (ie AESM)
  • Obtaining quotes for maintenance
  • Representation of the Owners Corporation in relation to all aspects of the management and operations of the property
  • Maintenance and Repairs: Responsible for the day-to-day management of the property together with all associated administrative functions.
  • Provide strategic asset management advice to the owner’s corporation when required.
  • Assess and implement asset management strategies provided by OC.
  • Regularly meet with and report to the Owners Corporation and provide ad hoc reporting to the owner’s corporation as required, including monthly management, operational, and annual asset management plan. 
  • Maintaining a well-presented building, keeping the building clean and tidy, including regular cleaning of common areas and responding to any specific requests from tenants.
  • Essential services routing inspections: Including fire safety systems, building security systems, waste management, and water supply and treatment.
  • Non-essential services: Including amenities, landscaping, and exterior maintenance.
  • Security and Safety: Managing the security and safety of the building and its occupants, including monitoring access control systems, responding to emergencies, and coordinating with emergency services as needed.
  • Waste Management: Managing the collection and disposal of waste, recycling, and other materials.
  • Energy Management: Managing and optimizing energy consumption to reduce costs and improve sustainability.
  • Space Management: Ensuring that space is utilized efficiently and effectively, including managing occupancy levels, space planning, and reconfigurations.
  • Budget Management: Ensuring that the building’s financial needs are met and managing the budget in collaboration with the Owner Corporation Manager.
  • Compliance and Regulatory Management: Ensuring that the building complies with all applicable laws, regulations, and codes. managing the building operations
  • Any additional duties requested by the owner’s corporation.

Identifying And Addressing Maintenance Issues

Our process for addressing maintenance issues involves regular scheduled audits and vigilance to identify potential problems early. Our team conducts frequent inspections to spot any issues and acts swiftly, often within minutes, to ensure the safety of the building’s occupants.

We prioritize resolving problems quickly, but more complex repairs may require additional time, especially when coordination with builders and insurers is necessary. Our goal is to minimize disruption and maintain smooth operations for the building and its residents.

Building Facilities Management

We induct and supervise any on-site staff, contractors, agents, and authorized personnel. We will provide all the necessary information to the contractors and other support staff. Undertake inspections of the property periodically.

  • Conduct routine inspections periodically (external and internal).
  • Check all external and internal doors, light
    bulbs, and advise replacing them where
    necessary
  • Make sure all the assets in the car parks have no damage or break-ins
  • Make sure waste management is in order
  • Actively enter all the information in the
    management register and monitor building
    control systems
  • Make sure all the fire escapes are not obstructed
  • Ensure the standard of presentation, repairs, and maintenance, OHS aspects are effectively managed
  • Making sure the waste management is efficient
  • Actively monitor and ensure all signs and notices are in order
  • Take responsible steps to ensure all the contractors maintain safe and clean environment
